The Hub Program Manager’s primary focus will be supporting the volunteers who make the Hubs possible. The contractor will recruit, orient, schedule, train, and communicate with volunteers while ensuring that each Hub is organized, adequately supplied, and operating consistently.
This is not primarily a bicycle mechanic position. Success will come from building a strong volunteer team, maintaining effective systems, and creating an environment in which volunteers and community members feel welcomed and supported. Expected time commitment is 12 hours per week.
Key Responsibilities include:
Volunteer Recruitment and Stewardship
– Recruit volunteers for the Canmore and Banff Hubs, volunteer roles include shop helpers, mechanics, and experienced mechanics.
– Promote volunteer opportunities through the Hubs, community events, partner organizations, and Community Cruisers communications.
– Clearly communicate that some Hub volunteer roles do not require previous bicycle-repair knowledge.
– Orient new volunteers to Community Cruisers’ mission, ways of working, safety expectations, and Hub procedures.
– Schedule volunteers for public Hub hours, additional repair sessions, periodic special sales or events.
– Monitor upcoming shifts, identify coverage gaps, and communicate with volunteers when support is needed.
– Provide regular check-ins, coaching, recognition, and opportunities for volunteers to offer feedback.
– Help volunteers identify learning opportunities and pathways to develop new skills.
– Encourage a volunteer culture that is welcoming, inclusive, respectful, collaborative, and fun.
Volunteer Training and Development
– Use the Volunteer Handbook as the foundation for orientation and ongoing volunteer training.
– Work with experienced volunteers to develop practical training and mentorship opportunities.
– Organize off-hours repair sessions where volunteers can work on donated bicycles with fewer interruptions.
– Support low-pressure mentorship between experienced mechanics and volunteers who are developing their skills.
– Help develop clearer competency pathways for shop helpers, mechanics, and experienced mechanics.
– Reinforce Community Cruisers’ approach of helping members participate actively in maintaining and repairing their own bicycles.
Hub Operations
– Maintain regular on-site contact with both the Canmore and Banff Hubs.
– Help ensure that Hub shifts are appropriately staffed and ready to open.
– Support consistent opening, closing, operating procedures.
– Coordinate Hub supplies, spare-parts inventory, and storage.
– Support the intake of donated bicycles and the organization of bicycles awaiting inspection, repair, sale, parts removal, or recycling.
– Coordinate donated bicycle pickups and recycling drop-offs.
– Coordinate storage and preparation of bicycles for sales and special events.
– Help ensure that the Hubs remain organized, functional, and welcoming to volunteers, members, and customers.
– Work with volunteers to address operational concerns and bring larger issues to the Managing Director.
Bicycle-Tagging and Safety-Check Stewardship
– Maintain the inspection, repair, safety, sale, and recycling tag systems.
– Keep bicycle tags and related supplies stocked at both Hubs.
– Collect and review completed tags to monitor how the system is being used.
– Coach volunteers on the tagging workflow and reinforce consistent use.
– Gather volunteer feedback and update the tags or workflow when necessary.
– Work with experienced mechanics to ensure that final safety checks are completed by appropriately qualified volunteers.
– Maintain accessible copies of the current workflow, forms, and supporting documents.
Volunteer Handbook Stewardship
– Maintain the Community Cruisers Volunteer Handbook as a practical and current resource.
– Incorporate feedback and knowledge from volunteers and experienced mechanics.
– Keep role descriptions, repair processes, inspection guidance, and volunteer resources up to date.
– Ensure that the Handbook is easy for volunteers to find and use.
– Reference the Handbook during orientation, training, and regular volunteer communications.
Hub Growth and Revenue
– Help expand public Hub hours as volunteer capacity grows.
– Support the sale of bicycles, parts, and memberships through clear and consistent procedures.
– Improve the flow of donated bicycles through inspection, repair, safety checks, and sale.
– Work with the Managing Director to identify opportunities to increase earned revenue without compromising accessibility or the volunteer experience.
– Track basic Hub information, including volunteer participation, open hours, bicycles repaired and sold, memberships, and revenue.
– Provide regular updates to the Managing Director on volunteer capacity, Hub activity, operational needs, and opportunities for improvement.
What Success Will Look Like
During the first year, the Hub Program Manager will have:
– Established a consistent system for recruiting, orienting, scheduling, and communicating with Hub volunteers.
– Increased the number of active shop helpers and mechanics.
